FAQ

      How to Register for Jobs and Swims at a Meet:

      Log in to the website. Login is found in the upper right hand corner of the screen.

      If you can’t remember your password, click "Forgot your password" to reset your password.

      Under the VOLUNTEER TAB CLICK JOB SIGN UP to sign up for a swim meet, OR go to the meet and events tab 

      • Click the green JOB SIGNUP tab and sign up for volunteer shifts (note one parent may sign up both parents for jobs -- scroll down and you’ll see the other parent listed). If you know you and your spouse will not be at this meet, skip to Swimmer Signup.
      • Click Save Assignments.
      • Click Back to Signup Calendar.

      If your swimmer is NOT going to be at a meet:

      • Click the green MEET ENTRY tab, and then click the green Edit tab under your athletes' names.
      • For each of your athletes, select an option from the drop down list next to their names NOT Attending
      • Click Save to record your choices.

      Practice Information

        There will be practice if there is rain, we are holding all practices at the brand new NCISD natatorium so practices will be held inside. So weather will not be an issue. Please be on time for practice.

        • Leave valuables at home. We are not responsible for lost or stolen items.
        • Do not eat a big meal 30 minutes before practice.
        • You may want to bring dry clothes on cooler days, as well as a towel every day.
        • We encourage you to not wear your team suit for practices.
        • Swim goggles are required for all practices and meets.
        • Swim caps are not required for practice, but they are recommended (particularly for swimmers with long hair).

        Parents are welcome to attend practices, but you must remain off the pool deck. Please do not distract the swimmers or the coaches during practice. Please relay this direction to any other adults who might be bringing or picking up your children from practice.
        Children who are not in practice must remain with parents, outside the pool deck, until their practice time.
        If parents wish to speak with the coaches, you must wait until after the last practice or leave them a note in the coach’s book. The only break the coaches will have is when there are no swimmers in the water. It is critical for all of the coach’s attention to be given to the swimmer’s instruction and safety when they are at the practice. Board members are also usually present at most practices, so you may address them with questions at any time

        Meet Information

        Meet Participation

        Swimmers must be able to swim one length of the pool.
        Swimmers must have participated in at least 2 regularly scheduled practices within the week to be eligible to compete in the next scheduled meet. Swimmers are expected to participate in meets based on their ability. Swimmers must compete in 2 dual meets to be eligible to participate in the divisional meet at the end of the season. Participation in the invitational meets is based on the swimmer’s times during the season. All swimmers who qualify are extended an invitation to participate in the invitational meets. There is a non-refundable entry fee for participation in the invitational meets that must be paid prior to entry into the meet.

        Meet Entries

        ALL SWIMMERS will automatically be entered into all Dual meets UNLESS they have “signed out” in the Coaches Book or rsvp’d online. The absolute deadline for “signing out” of a meet will be Monday (9pm) prior to the meet (5 days before). The above procedure helps coaches adjust their individual and relay entries accordingly for each meet and helps to reduce the mistakes and oversights which last minute changes may cause in our lineups and exchanges with other teams.
        Your adherence to the deadline and communication in the Coaches Book is greatly appreciated!

        Meet Day

        Before the Meet
        • All swimmers check-in at the team check-in table.
        • All parent volunteers check-in with the volunteer coordinator.
        • All swimmers check-in with their age group parent(s) at 7:00 a.m., and prepare to warm-up.
        • The concession crew begins to set up and sell. The concession remains open throughout the meet.
        • The coaches conduct swimmer warm-ups in the pool.
        • The clerk of course holds a scratch meeting to make adjustments based on "no shows.”
        • Officials meet for final instructions from the referee.
        • The timers meet for final instructions and lane assignments from the head timer.
        • Age group parents gather their swimmers for the first few events.
        • The announcer calls swimmers in the first few events to the ready bench, where swimmers are organized so that they are on the blocks and ready around 8:30 a.m.
        • The announcer welcomes the visiting team. The National Anthem is played.
        • At 8:30 a.m. the meet begins.
        After the Meet
        • Everyone helps by picking up garbage and gathering belongings.
        • Take-down crews go to work to return the natatorium to at least the state or better than at the beginning of the meet.  

        Meet Official.

        • Meet reports, coaching diagnostic reports and improvement reports are printed.

        Survival Tips

        Swimmers

        • Swimmers should remain in the pool area at all times to allow the age group parents to get the swimmers to their events at the correct times.
        • Report on time. At home, warm ups begin at 7:15 a.m. The website www.emc.swimtopia.com will provide information for away meets.
        • Circle in:  All Swimmers must circle-in when they arrive.
        • Team area: At home, our team area will be outside the natatorium. When we’re away, look for your age group parent. Swimmers should rest between events.
        • Warm Ups:  Warm ups are  with your age group when the coaches instruct you. Warm ups are especially important for 11 and up swimmers at away meets, as it's their only chance to gauge their turns in an unfamiliar pool before competition.
        • Check the event board periodically to see if you need to report to the staging area by the ready bench.
        • If you miss the final ready bench call for your event, you will be scratched from the event.
        • Stay at the meet. If you must leave, please tell your age group parent and the clerk of course.

        Parents

        • Check on your swimmer(s) periodically to make sure that they are behaving, and are drinking lots of fluids!
        • Listen to Announcements. The Announcer will provide valuable information throughout the meet such us calling events to ready bench, shift changes, volunteer opportunities and score update.
        • Stay busy. There is a lot of down time at meets when your swimmer(s) is not in an event. Volunteer for one of the many jobs that need to be done. Bring something to read.
        • Meet your neighbors. Being a part of the EMC EELS Swim Team is a wonderful way to meet new friends. Please introduce yourself whether you were with the team last year or are new to us this year, and get acquainted with your neighbors.
        • Praise your swimmer. Give him/her a pat on the back and leave the coaching to the experts.
        • No smoking! Smoking is not permitted in the pool area. Chlorine attracts smoke, and smoke is bad for our swimmers. If you must smoke, please stay away from the swimmers.
